If Your Reimbursement Is Rejected

Most denials are fixable. Here's how to tell if yours is, and what an appeal actually requires.

Common reasons and the fix

Denial reasonFix
Invalid receipt / not a real receiptResubmit a complete receipt showing merchant, date, itemized products, and proof of payment — a cart screenshot or shipping email isn't enough.
Zero balance shownOnly money you actually paid is reimbursable. If a gift card covered it, submit the receipt for buying the gift card with your own funds instead.
Missing proof of paymentAttach a card statement excerpt, payment app confirmation, or a receipt clearly marked "Paid" — not just an order confirmation or a "pending" status.
Missing item descriptionThe receipt has to name the actual product ("Saxon Math 8/7 Textbook"), not a SKU or a generic label like "Educational Materials."
Handwritten receiptGet a printed, system-generated receipt. See receipt requirements for the cash/check rules specifically.
Wrong category chosenResubmit under the correct category. Run the item through the Categorizer first next time.
Purchase date doesn't match, or falls outside the program windowThe date on the receipt has to match what you entered, and has to fall inside the current scholarship year.
Requested amount doesn't match the receiptRequest exactly what the receipt shows.

Resubmit, or file an appeal?

Most of the list above just needs a corrected resubmission — a new reimbursement request with the fixed documentation or category, not a formal appeal. Odyssey is explicit about this: if you need to add or fix documentation, submit a new request rather than appealing.

An appeal is for when you believe the denial itself was wrong:

  • It was based on incorrect information
  • You provided the required documentation but the system didn't recognize it
  • The expense genuinely qualifies under the program's educational guidelines
  • A technical or system error caused the denial

If you do appeal

  • 15 calendar days. You must appeal within 15 days of the denial notice. Appeals filed later aren't considered.
  • One appeal per reimbursement. All decisions are final.
  • You don't file it yourself. You contact Odyssey Support with your reimbursement details and the reason you believe the denial was wrong; if it's eligible for appeal, Support files it on your behalf.

These are not appealable, no matter the circumstances:

  • Insufficient funds in the scholarship account
  • A purchase made outside the eligible scholarship year
  • The student ultimately not approved for the program year
  • A reimbursement submitted after the program deadline (see the program year calendar)
  • An expense for a service occurring after the scholarship year ends

Odyssey's appeals article states it applies to denials “occurring during the 2025-2026 program year.” We're tracking whether it gets reissued for 2026-2027 — see /sources for the current status of this citation.
